Who we are and what this notice covers

AJ Accounting Ltd is the controller of personal information it receives through website enquiries and related business correspondence. This notice explains that use under the UK GDPR and the Data Protection Act 2018, as amended. Separate privacy information and contractual arrangements may apply to client assignments.
Information you provide
The enquiry fields are name, organisation (optional), email and a description of your enquiry. The form processes these details in your browser to prepare an email in your own email app. It does not send the details to a website form service or store them in a website database. You review the prepared message and choose whether to send it. Your browser or email app may retain information under its own settings.
When you send an email, we receive the contact details, message, attachments and any other information you choose to include. Please provide only information needed to explain the enquiry, rather than sensitive personal information or identifiable client records. Providing information is voluntary, but we need a way to contact you and enough detail to respond.
Website visits and third-party connections
Hosting and security services process technical information such as IP addresses, browser and device details, requested pages, timestamps and security signals to deliver the site and protect it from abuse. The website is hosted through ChatGPT Sites, with Cloudflare involved in delivery and security.
The stylesheet loads DM Sans and Manrope from Google Fonts. This connects your browser to Google’s font services and shares technical request information, including your IP address. LinkedIn links open LinkedIn only when selected; no LinkedIn feed, pixel or social plugin is embedded.
AJ Accounting has not installed Google Analytics, Google Tag Manager, advertising pixels, visitor profiling or session-recording tools in this website. There are no embedded maps, videos or appointment-booking services. Technical hosting/security logs are distinct from marketing analytics. See the Cookie Policy for the security cookie identified in our review.
Why we use information and the lawful bases
- Responding to enquiries and discussing assignments: legitimate interests in communicating with prospective clients and partners and managing professional business enquiries, balanced against your rights.
- Steps towards or performance of a contract: where you personally request pre-contract steps or are a party to the contract. Contact details of people acting for an organisation are generally handled on legitimate-interests grounds.
- Website delivery and security: legitimate interests in providing a functioning, secure website and preventing misuse.
- Required business records or legal disclosures: compliance with a legal obligation where applicable; establishing, exercising or defending legal claims may instead rely on legitimate interests.
An enquiry is not consent to receive marketing. This website has no marketing sign-up or marketing consent box. It does not use enquiry details for automated decisions with legal or similarly significant effects.
Who may receive information
Information needed to provide the website or handle correspondence may be processed by hosting, security, font-delivery and email/communications providers. ChatGPT Sites/OpenAI, Cloudflare and Google Fonts are relevant to website delivery; LinkedIn operates its own service when you follow a link. The role of each provider depends on the service and its applicable terms.
Where needed, relevant information may also be shared with professional advisers or authorities for legal obligations or legal claims. We do not include enquiry details in the public website. Information on external services is subject to their own privacy information.
Processing outside the UK
Global hosting, security and font providers may process technical information outside the UK, including in the United States. Cloudflare’s published information states that cookie data may be processed in US data centres by default. Locations and safeguards depend on the provider and service configuration.
UK data-protection requirements apply to restricted international transfers. Depending on the circumstances, these require an applicable adequacy regulation or appropriate safeguards, such as approved contractual arrangements and any necessary transfer assessment. Contact us for information about the recipients and transfer arrangements relevant to your personal information. This notice does not promise that all processing takes place in the UK.
How long information is kept
Enquiry correspondence is kept while the discussion is active and afterwards only where needed for follow-up, an agreed assignment, required business records or a potential legal claim. Retention is assessed by the purpose, whether an engagement results, applicable statutory record-keeping requirements and relevant limitation periods. Information no longer needed should be deleted or anonymised.
Technical log retention is governed by the hosting/security service’s configuration and policies. The Cloudflare security cookie described in our Cookie Policy expires after 30 minutes of continuous inactivity. Contact us about the retention criteria applying to a particular enquiry.
Security
The website is served over HTTPS. The enquiry form avoids a website-side repository of messages. Appropriate technical and organisational protection is required for correspondence and other personal information, including limiting access to those who need it. No internet transmission or storage method can be guaranteed completely secure.
Your rights and complaints
Subject to the relevant conditions and exceptions, you can request access, correction, erasure, restriction of processing and data portability. You can object to processing based on legitimate interests. Where processing relies on consent, you may withdraw it without affecting earlier lawful processing.
Contact alex@ajaccountingltd.co.uk to exercise a right or raise a concern. We may need information to verify your identity and clarify the request. Requests are normally handled within one month, with extensions or pauses where the law permits. You can complain to the Information Commissioner’s Office; you do not have to contact us first.
This notice will be reviewed when the website’s technology or relevant processing changes.
